EPFO SOP for processing of joint declaration of member profile updation – Version 3.0

Further to our communication on the joint declaration dated 11th September 2023, and 16th April 2024, the Employees’ Provident Fund Organization has now released the standard operating procedure for joint declaration for member profile updation – version 3.0. While there are consecutive updates in this regard, the following is the gist of the details released on 31st July 2024, by the EPFO:
- There is a mention of trans-gender category in place of ‘others’.
- The parent name field has been replaced by Father Name, Mother name, and Spouse name. Supporting documents remain the same for the newly introduced category and are called out in Table C of the attached SOP version 3.0. Refer to page no. 21 (Aadhaar card of the member bearing spouse name being an edit in this SOP).
- There is an addition in the supporting documents in the marital status section. These now include the death certificate issued by the Registrar of Births and Deaths, and the Family Member certificate issued by the employer on the letterhead.
- Addition of supporting documents in the date of leaving and reason for leaving section, namely death certificate issued by the Registrar of Births and Deaths.
- Proof of nationality has the following additions:
- Voter ID/ Elector Photo Identity Card (EPIC)
- Nationality Certificate/ Domicile Certificate
- Appointment Letter/Offer of Appointment in which Nationality is mentioned
- Birth Certificate issued by the Registrar of Births and Deaths (only in cases where the Nationality is not available in the system and now getting updated as INDIAN for members who had acquired citizenship of India by birth and have domicile in India)
While joint declarations can be updated by the member for member profile corrections, the employer also has the option to update them on behalf of the employee. Employer updation will be helpful wherever the member is unable to log in to the member UAN portal.
As per this standard operating procedure, the employer has seven days to update the member’s profile correction on the portal, including approval. A three-day timeline is provided if the same is sent back from the PF office.
This is the third version of the SOP. It includes the profile change category and supporting documents to be enclosed as of the date. Kindly note that for minor changes, there should be at least two supporting documents from the list mentioned in Annexure 1. Similarly, major changes would require a minimum of three supporting documents.
